Account and workspace data — when you or your employer creates a SmartPRO Hub account:

• Name, work email, phone number, and role within your company
• Company details — commercial registration, address, and branch structure
• Employee records your company enters — contracts, salaries, attendance, leave, and end-of-service entitlements
• Documents you upload — civil IDs, passports, visas, and compliance certificates

Feasibility Studio data — collected only with your explicit consent when you use that tool:

• Full name — to appear on official feasibility documents
• Civil ID number — included in documents for bank submission purposes
• Phone number — included in documents for bank contact purposes
• Business information — name, type, city, description, financial estimates
• Nationality — to match applicable DBO/Riyada funding programs

Connected social account data — see section 5.

Usage analytics — anonymised session data for service improvement, collected only after cookie consent.

We use your personal data solely for these purposes:

• To run the HR, payroll, and compliance features your company subscribes to — including WPS payroll files, Social Protection Fund contributions, Omanisation reporting, and end-of-service gratuity
• To generate your AI-assisted feasibility study documents
• To send documents to a bank or government authority, only when you explicitly request it
• To publish the social posts you create and show you their engagement statistics (section 5)
• To improve service quality using anonymised aggregate data

⚠️ We do not sell, rent, or licence your personal data, and we do not share it with third parties for advertising or marketing purposes.

SmartPRO Hub is a multi-tenant platform. Each company's data is isolated at the database and storage layer: every request is scoped to the authenticated company, and stored files are partitioned by company. No company can read, export, or modify another company's records.

If you choose to connect a Facebook Page or an Instagram business account, SmartPRO Hub accesses data from Meta's platforms on your behalf. That data is Meta Platform Data, and this section governs it.

The permissions we request, in plain language:

• See the list of pages you manage (pages_show_list, instagram_basic) — so you can pick which page or account to connect. We read the page's name, ID, and category. We do not read your personal Facebook profile, your friends, or any page you did not connect.
• Publish the posts you write (pages_manage_posts, instagram_content_publish) — so the content you compose and schedule in SmartPRO Hub appears on your own page. We never post without an action you took.
• Read engagement statistics for those posts (pages_read_engagement, instagram_manage_insights) — reach, impressions, likes, comment counts, and engagement rate, so you can see performance in your dashboard.

What we store: the page or account ID and name, an encrypted access token, the posts you created through SmartPRO Hub, and the aggregate engagement statistics for those posts. We do not store your Meta password, your personal profile data, or the content of private messages.

What we do with it: we use Meta Platform Data only to provide the publishing and insights features to you, the account holder, inside your own workspace. Specifically, we never:

• Sell, rent, or licence Meta Platform Data to anyone
• Share it with data brokers, ad networks, or analytics resellers
• Use it to build advertising profiles or to train machine-learning models
• Combine it with data from other companies on the platform

Your control: access exists only while you keep the account connected. Disconnecting it in Settings → Integrations deletes the stored token and the cached page data immediately. You can also revoke access from Facebook Settings → Apps and Websites.

• Feasibility Studio Civil ID and phone number are not stored on our servers. They exist only in your browser session (in-memory) and are included in the generated document. They are excluded from localStorage.
• Progress data (business name, type, financial figures) is saved in your browser's localStorage so you can resume if you close the page. This data is cleared when you complete or restart the study.
• Anonymous session data (business type, city, output language) may be retained for up to 12 months for analytics purposes.
• Workspace records (employees, payroll, documents) are retained for as long as your company's account is active, and afterwards only where Omani law requires it — payroll and WPS records under the Labour Law, and tax records under Omani tax law.
• Meta Platform Data is retained only while the account is connected, and is deleted on disconnection. It is never part of the legally retained set.

We process your personal data under the following legal bases:

• Explicit consent — you consent before entering Civil ID and phone number, and before connecting any social account
• Contractual necessity — to deliver the subscribed platform features to your employer, and where you ask us to send documents on your behalf
• Legal obligation — payroll, WPS, and Social Protection Fund reporting required of employers in Oman
• Legitimate interest — for anonymous analytics to improve the service

Under Oman's PDPL, you have the right to:

• Access your personal data held by us
• Correct inaccurate personal data
• Delete your personal data (right to be forgotten) — see our Data Deletion Instructions
• Withdraw consent at any time without affecting the lawfulness of prior processing
• Object to processing based on legitimate interest
• Lodge a complaint with the competent Omani authority

We use cookies and analytics tools. You control this via the cookie consent banner shown on your first visit:

• Essential cookies — required for the service to function (session state, progress saving). These cannot be disabled.
• Analytics (Google Analytics 4) — enabled only after your consent. Used to understand usage patterns and improve the service. You may decline at any time.
• Advertising measurement (Meta pixel) — enabled only after your consent, and only on our public marketing pages, never inside the platform. It tells Meta when a visitor who came from one of our Facebook or Instagram ads leaves their details, books a demo, or opens WhatsApp, so we can measure those ads. You may decline at any time.

We implement appropriate technical and organisational measures to protect your personal data, including:

• HTTPS encryption for all data in transit
• Encrypted storage of third-party access tokens, including Meta access tokens
• Civil ID and phone number are processed in-memory only and excluded from server-side logging
• Server-side API keys — AI generation calls go through our backend, not directly from your browser
• Audit logging of every create, update, and delete action on tenant data

Your data may be processed by service providers located outside Oman — AI providers used to generate feasibility study content, and Meta's platforms when you publish to a connected page. We ensure appropriate safeguards are in place in accordance with Oman PDPL requirements for cross-border data transfers. Civil ID and phone numbers are excluded from AI calls.

We may update this policy periodically. Material changes will be notified via a banner on the website. The "Last updated" date at the top of this page reflects the most recent revision.
